How do I create an sales invoice?

After delivering your product or service, it’s time to create and send an invoice.

Create an invoice

To create a sales invoice, follow the steps below:

  1. Navigate to Sales in the left-hand menu;

  2. Choose Sales invoices and click New;

  3. Enter the invoice details;

    1. Customer: Select the customer to whom the product or service was delivered;

      • If the customer doesn’t exist yet, click New to add them;

    1. Contact person: If needed, enter a specific contact person;

    2. Reference: Add a reference if necessary;

    3. Date: Enter the date when the product or service was delivered;

    4. VAT: Choose whether to calculate VAT as Exclusive (added on top of prices) or Inclusive (already included in prices);

  4. Set Invoice Lines:

    1. Enter the Quantity, Description, and Price for each product or service;

    2. If you have predefined products, you can select them from your Product List.

    3. Discount: If applicable, enter a discount;

    4. VAT Rate: Select the correct VAT rate for your product or service. If predefined, this will already be filled in;

    5. General Ledger Account: Based on the VAT rate, choose the corresponding sales revenue account;

  5. You can add more lines using New Line or add an information-only line with New Information Line;

  6. Additional Information:

    1. Comments: Add any additional details or comments if needed;

    2. Footer: The footer, which includes payment instructions, is set according to the selected payment condition;

      1. The tags in the footer will automatically populate with the relevant invoice details when the invoice is sent;

  7. Advanced Settings:

    1. Use Extra Settings for more advanced options;

      1. Attachments: Add attachments (e.g., time logs, supporting documents) if required;

      2. Currency: If dealing with multiple currencies, adjust the currency of the invoice here;

      3. Template: If you have multiple templates, select the desired one for this invoice;

  8. Click Save to create the invoice;

  9. To finalize and assign an invoice number, you need to send the invoice. This action will also record it in your accounting system.
