When working on a project basis, tracking the hours worked is an essential part of eventually sending the correct invoices.
Within InformerOnline, it is possible to work with a time tracking module.
Time Tracking
Adding Required Data
Create a unit
Before you can start using the time tracking feature, you need to create items with the unit type “Hour Type.” Units can be created via Settings -> Units. Click ‘New’ to create a new unit, and ensure that the type is set to ‘Hour Type.’
After creating the unit, select "Save."
Only items with the unit type 'Time unit' can be used in time tracking.
Create an Item
Once you have created the Time unit type, you can edit an existing item or create a new one via Settings -> Products. When creating or editing an item, you can select a unit. Choose the unit you just created. After entering all necessary information, click "Save."
Create a Project
Now that you have created a unit and properly set up an item, you can begin creating a project. In the left-hand menu, select Projects and then click ‘New.’
Fill in the required project details, such as ‘Project Name,’ ‘Start Date,’ and ‘Deadline.’ After entering all information, click "Save."
The saved project will now appear in the project overview.
Logging Hours via Hours
In the left-hand menu, select Hours and then click ‘New.’ In this screen, enter the required information as shown in the example below.
Once you have clicked "Save," the 8 hours will be displayed in the time overview and booked under project 2024-0003 ‘Informer.’
Checking Logged Hours
You can view all logged hours in two ways:
Checking Hours on the Project
On the project, you can find the logged hours under the ‘Hours’ tab. In the example below, you can see the two hours logged for this help item.
Checking Hours via Time Tracking
In the left-hand menu, select Hours to see all logged hours at a glance.
This view shows all hours logged, not by project, but organized by project name and date.
Invoicing Logged Hours
As shown in the example above, the status of both logged time entries is still 'To bill.' To invoice these hours, go back to the Project Overview in the left-hand menu under Projects. Select the project you want to invoice (in this case, project 2024-0003) ‘Informer’), and then click ‘Create Invoice’ in the top right.
A window will appear for selecting the hours to be invoiced. As shown in the example below, these are the time entries that were just logged. After clicking ‘Create Invoice,’ an invoice will be generated for the time entries, and their status will change to ‘Invoiced.’
Note: If you have chosen to consolidate hours in the project, all hours of the same hour type will be grouped into one line item. Any differently entered hourly rates will then be replaced by the standard hourly rate.
