What is UBL?

UBL stands for Universal Business Language, a standard developed for exchanging business documents between companies. It was created by OASIS (Organization for the Advancement of Structured Information Standards) and is based on XML (Extensible Markup Language). UBL is widely used to automate the exchange of data such as invoices and purchase orders, making business processes more efficient.

Benefits of UBL

  1. Streamlined invoice processing: UBL files, usually in .xml format, are often sent alongside the invoice PDF in emails. These files can be automatically imported into your accounting software. Learn more about it in the help item How do I set up incoming e-mail?

  2. Automation: When you receive a UBL file, the system can read it to automatically fill in details such as:

    • Supplier information

    • Invoice number

    • VAT rates

    • Amounts due

  3. Time-saving: The biggest advantage of UBL invoices is that they reduce manual data entry. The system reads and populates the necessary fields from the UBL file, ensuring accuracy and saving time.

  4. Integration with Informer BookingRobot: If the Informer BoekRobot is activated, UBL invoices can be automatically processed and booked without any manual intervention.

Process a UBL purchase invoice

  1. Open a UBL invoice;

    1. UBL invoices can be identified by the UBL label next to To process;

  2. All relevant data (e.g., supplier, amounts, VAT) is already known and automatically entered in the correct fields, because of the UBL information;

  3. Review, change if necessary and click Save to book the purchase invoice.

Process a UBL purchase invoice automatically

If the Informer BookingRobot is activated, UBL invoices will be processed automatically, eliminating the need for manual review. This allows for even faster and more efficient invoice handling. If activated, the steps from Process a UBL purchase invoice have become unnecessary
