The BookRobot can automatically process purchase invoices, particularly those in UBL format. This means you’ll spend less time manually entering invoices, helping streamline your administrative tasks.
Activating the Informer BookingRobot
To activate the Informer BookRobot, follow the steps below:
Navigate to Settings in the left-hand menu;
Choose BookingRobot;
Configure your preferences:
Active: Toggle the Active option to enable the BoekRobot;
Ghost Invoices: To prevent mistakes with new suppliers, set the number of invoices that need to be processed manually before the BoekRobot starts automatic booking for that supplier. For example, setting this to 1 will mean that starting from the second invoice, the BoekRobot will book invoices automatically;
Average value check: Activate the Control of average value option to have the BoekRobot compare the invoice value against a historical average;
Average value percentage: Specify a percentage threshold. If a new invoice deviates by more than this percentage from the supplier's average invoice value, it won’t be automatically booked;
Excluding suppliers
If you prefer to manually process invoices from specific suppliers, you can exclude them from automatic booking.
Add excluded suppliers: In the Exclude the following suppliers from the BoekRobot list, add any suppliers whose invoices should always be manually processed.
Remove exclusions: Use the trash icon next to a supplier to remove them from the exclusion list and allow automatic booking in the future.
By setting up the BookingRobot, you’ll streamline the processing of purchase invoices, allowing more time to focus on your core work.
