With InformerOnline’s BankRobot, you can automatically process bank transactions, speeding up the entire process for both sales and purchase invoices.

With InformerOnline’s BankRobot, you can automatically process bank transactions, speeding up the entire process for both sales and purchase invoices.

The BankRobot automatically matches incoming and outgoing transactions with corresponding invoices based on the invoice number and amount.

Matched transactions are labeled with a blue tag called BankRobot and the invoice status is updated to Paid immediately after importing the bank transactions.

By default, the BankRobot automatically and only matches invoices.

Transactions without matching invoices will not be automatically processed.

For recurring transactions, such as salary payments, you can create a custom BankRobot to automate the booking process for these regular payments.

Create a BankRobot via settings

To create a BankRobot, follow the steps below:

  1. Navigate to Settings in the left-hand menu;

  2. Choose BankRobot and click on New;

  3. Enter the required information:

    1. Description: Give the BankRobot a descriptive name to easily differentiate it from others.

    1. Bank Account: Choose the bank account to which the robot will apply, or select All Accounts if it should process transactions across all accounts.

    2. Conditions: Set the conditions for matching:

      1. Credit or Debit: Specify if the robot should match credit (incoming) or debit (outgoing) transactions.

      2. Any or All Conditions: Choose whether the robot should match based on any condition or all specified conditions.

      3. Conditions to Match:

        1. Description, Amount, or Counterparty: The robot can match based on a part of the description, the exact amount, or the counterparty’s account.

      4. Comparison Types:

        1. Description:

          1. Equals: Match if the description is exactly equal to the value you provide.

          2. Contains: Match if the description contains the specified value.

          3. Does Not Contain: Match if the description does not contain the specified value.

        2. Amount:

          1. Equals, Greater Than, Less Than, or Equal or Greater/Less: Specify the amount condition.

        3. Contra account:

          1. Equals, Contains, or Does Not Contain: Match transactions based on the contra account details.

      5. Value: Let the robot match on the entered value;

    3. Relation (Optional): Assign a specific relation for the transaction to be booked against;

    4. Booking:

      1. Fixed amount or Percentage:

        1. Fixed Amount: Use this option if the transaction amount is always the same.

        2. Percentage: If the transaction amount varies, use this option. Ensure that the total percentage always adds up to 100%.

Create a BankRobot from transactions

You can quickly create a BankRobot directly from an existing transaction, streamlining the setup process. To do so, follow the steps below:

  1. Navigate to Bank/Cash in the left-hand menu;

  2. Open a transaction for which you want to create a BankRobot

  3. Choose New BankRobot to create a robot;

  4. All relevant information from the transaction will be automatically filled in;

  5. Save to activate the BankRobot.
