How do I register a fixed asset?

When you purchase tangible items with a cost price of €450 or more, such as computers or digital cameras, which are usable for more than a year, you need to record these as assets.

InformerOnline has made it as easy as possible to register these assets. To do this, go to Advanced > Assets registration. Note: You can only use this feature if you have an accounting subscription.

Asset Registration

By default, Informer has already created 7 asset groups. These groups function such that, when selecting the asset group, the Balance and Profit & Loss accounts are automatically filled in. It also specifies the number of years over which depreciation should occur and the frequency (monthly or yearly).

If there is no suitable asset group, it can be created via Settings > Master Data > Asset Groups.

In this help item, we assume the purchase of an Apple MacBook Air worth €1400, purchased on 28-03-2020. The asset, however, started on 01-04-2020. A depreciation of 5 years, monthly. This means that €23.33 should be depreciated each month.

Group & Description

Where necessary, the field "Serial Number" can be filled in, but it is not mandatory and can be left empty.

As mentioned above, the MacBook Air was purchased on 28-03-2020, but the depreciation started on 01-04-2020. These dates are filled in the appropriate fields.

Purchase & Depreciation Dates

If you already have a running asset, a (large) part has already been depreciated. However, you can choose to have this also written off in Informer. To do this, fill in the field "Start depreciating from". If you choose 01-01-2021 here, the period between 01-04-2020 and 01-01-2021 will be written off immediately, and the remaining monthly depreciation will take place from 01-01-2021.

The purchase value of the MacBook Air was €1400. This is filled in column A: Purchase Value. If there is a residual value, that amount will be deducted from the total depreciation.

When entering an already running asset, the field "Already written off" can be filled in. For example: If the asset is entered from 01-01-2021, 9 months have already been depreciated. A total amount of €206.82 has already been depreciated. When that amount is filled in C: Already written off, the calculation in Informer will remain correct, namely the desired €23.33.

Depreciation

The last thing you specify is the depreciation in years, including the frequency: monthly or yearly.

After saving, the depreciation schedule will contain 60 months of €23.33. If the schedule is correct, you can choose the blue button "Start depreciation schedule".

Note: Before starting the asset, check under the Depreciation Schedule section if the schedule is correct.
